AI meeting notes without sending your audio to a US cloud
Most AI note-takers upload recordings to a US transcription API. FlowSentric transcribes on its own servers, deletes the audio and turns decisions into action items.

AI note-takers are wonderful right up to the moment the data protection officer asks where the recording went. For most popular tools the honest answer is "to a transcription API in the United States, then to a summarisation API, and we're not sure how long either keeps it". For a client meeting in a law firm, a medical practice or a Kanzlei, that answer ends the conversation.
We wanted meeting notes we could use ourselves, in Germany, with clients who actually read the DPA. So this is how it works.
How FlowSentric does it
- The meeting runs on our own self-hosted video infrastructure. Video rooms are minted with short-lived tokens on our EU infrastructure. Guests knock and are admitted by the host.
- Captions come from a local speech-recognition model. Live captions and the transcript are produced on our own servers, with no third-party speech API involved. If you upload a recording instead, the same model transcribes it.
- The audio is deleted. Once a recording is transcribed, the audio file is removed. Only the transcript and the AI analysis persist.
- The notes are structured. The AI note-taker returns a short summary, the topics, the decisions, the action items with owner and due date, and the sentiment, as data rather than a wall of prose.
From notes to work
Action items are only useful if they move. From the meeting page you can send follow-ups into a workflow in one click, add them to the My Projects board, or let an agent draft the follow-up email. You can also attach your own agents to a meeting: each one reviews the transcript from its role's perspective. The "compliance" agent flags what needs documenting; the "sales" agent lists the commitments made.
Ask the transcript
While the meeting is still running, "Ask AI" answers questions against the live transcript: "What did we agree on the deadline?" It's the same grounded question-answering the knowledge base uses, so the answer points at the passage.
The calendar around it
Meetings live in a calendar that also holds shifts, reminders, tasks and the scheduled runs of your agents and workflows. Import a schedule from PDF, XLSX, DOCX, CSV or ICS; export ICS or PDF; German public holidays for all sixteen Bundesländer are computed locally. Clients book slots on a public booking page that respects your buffers and holidays and sends an ICS invite.
Availability and limits
